Recording Time

Why the need for a timesheet?

In order to meet the requirements of our auditors, donors and insurance providers, we are required to use a formal system for recording the time you spend on various projects, your days of leave, and when you are travelling for business.

For administrative reasons, we please ask you to take this assignment seriously and conscientiously.  It is easiest if you do this daily, rather than trying to remember retroactively.

Bamboo

Bamboo is our HR platform and is used to record Annual leave, Sick Leave and Official Public Holidays (Bank Holidays).  For more information on how to do this, please visit the How-to Guide.

Annual Leave & Sick Leave

We are obliged by law to ensure that you take the statutory minimum leave as prescribed by your country of employment.

In the event of certified sick leave, please upload your medical certificate to your Bamboo profile. Steps on how to do this can be found here.

Oracle Netsuite

Oracle is used to record project related activities.  For more information on how to do this, please visit the How-to-Guide.

Recording time against a Project

For audit purposes and donor reporting, we are required to track time spent on project activities and provide supporting timesheets for staff members.  Having these systems in place, ensure that we are able to design and cost our projects appropriately.

Even if you only work on one project full time, please record your time accordingly.

Monitoring Travel (for Insurance purposes)

For insurance purposes we are required to record the number of days employees are working away from their usual home duty station.  When you travel, record 1 minute (0:01) for each day of travel.

If for example you are travelling from 1 – 3 January, you will record your time as follows :

1 January – 0:01 Travel, 8:00 Project

2 January – 0:01 Travel, 8:00 Project

3 January – 0:01 Travel, 8:00 Project
